Revenue and the Cooltix connection

The Cooltix settings of the Account page, the trial period, and what the numbers on the Revenue page show.

The Cooltix connection currently works on Cooltix's test environment, we are waiting for the live access. Until that is in place, no live Cooltix data appears on the Revenue page.

On the panel's Account page there are three things in one place: the details of the organization and the contact person, and the Cooltix access. The email address can't be edited here: it is your login ID.

Cooltix connection and the trial period

The Cooltix connection makes it possible for us to see how many tickets you sold with the Vibelify coupon code, and how much of that is due to us as commission. This setting is not the same as providing your ticket link: you do that per event in the editor, see the announcing an event article.

As a new organizer you get a trial period. While it lasts, connecting the Cooltix account is a request, not a requirement: everything works without it, and you can also sell tickets.

After the trial period ends you can only create a new event with a connected Cooltix account. Your already existing events keep running regardless.

Cooltix doesn't give self-service API access: you first have to request a Client ID and a Client Secret from them by email, before you can enter anything here.

  1. Request Cooltix API access (Client ID + Client Secret) from Cooltix by email.
  2. Enter both in the Cooltix fields of the Account page.
  3. On saving we immediately check the key with Cooltix: if it isn't valid, we don't save it.

The coupon code is fixed, the same for everyone (VIBELIFY). You don't set it here, you create it per event on Cooltix, in the amount agreed. We set the commission rate (you see it in the Commission field on the Account page) based on the agreement.

The Revenue page

Only valid, non-refunded tickets bought with the Vibelify coupon code count. Three numbers at the top: how many tickets were sold, what the gross ticket value is, and how much of that is Vibelify's commission.

Below is a daily chart, then a list by event: per event the ticket count, the revenue, the commission calculated from it, and the date of the last sale. The period can be set at the top: last 30 days, last 90 days, or the whole period.

Sync

The system reads in ticket sales from Cooltix by itself every two hours. If you want to see a fresh number without waiting for the next round, you can start it by hand with the Sync button on the Revenue page, at most once per minute.

If the sync runs into an error, the cause appears on the Account page. The most common cause is that an event's ticket link doesn't point to Cooltix, or has no recognizable event ID in it. Because of that that event will never have revenue, even with a valid key.

Why is my revenue zero, although I sold tickets?

There are two common reasons. Either your ticket link doesn't point to Cooltix (perhaps to another ticket seller), or the Vibelify coupon code isn't in order on that event yet. In the latter case the event isn't visible on Vibelify anyway, see the announcing an event article.

Do I have to connect my Cooltix account right away?

No, not while your trial period lasts. Afterwards you can only create a new event if it is connected.
