Announcing an event

What to fill in so that the event appears well and check-in works.

You create the event in the panel, from the My events page. There is no saving as a draft: the event either appears or isn't created.

What you have to provide

• Event name and description.
• Banner image: required, at most 15 MB.
• The venue from the address search: we calculate the 200-meter radius of check-in from it, so the exact address matters.
• Start time: check-in opens and reminders go out relative to it.
• Tickets: either mark the event free, or give the external (Cooltix) ticket purchase link, or choose Vibelify ticket sales, whose settings you provide after saving in the ticketing interface (admin.vibelify.app). One of the three is required.

In the same place, with a single switch you can also start a beer pong tournament for the event: you set the format, the maximum number of teams, the number of tables and the team size, and the tournament is created together with the event.

If you choose Vibelify ticket sales, you can also select in the Salespeople card the groups and individual salespeople who can sell tickets for the event. See the Sales groups article.

Cooltix ticket link and the discount code

If your ticket link points to Cooltix, the event does NOT go out immediately: it waits until we check that you created the VIBELIFY discount code for it. On Cooltix the discount code belongs to an event, so you have to create it separately for each of your events, in the agreed type and amount.

The check runs within seconds after saving. If it is fine, the event goes out, and only then is the notification sent to your followers. If it is missing, expired, of the wrong type or lower than agreed, the panel shows the reason in a popup: in that case create or fix the code on Cooltix, and press the I created it button. The check reruns regularly afterwards too, so an event that was visible can be taken down because of a code that was later deleted or changed.

Until the discount code is in order, the event isn't visible on Vibelify. This doesn't block saving, your entered data isn't lost.

We handle all times in Hungarian time. Check-in opens 2 hours before the start and closes 5 hours after the start.

After the event we ask participants for feedback, which you see in aggregate in the panel. As for photos, after the event you upload them to the gallery yourself.
